Tabletop Scotland 2025 - Exhibitor Setup, Breakdown and related info.

Do This First!
The email sent from exhibitor@tabletopscotland.co.uk which brought you here has three questions that we need answers to asap:
- What day do you want to set up your stand?
Options are:
Thursday 4th September or
Friday 5th September. - What time do you expect to arrive on that day?
For Thursday the options start at 16:00, with the latest arrival being 21:00. We must be offsite by 22:00.
For Friday the options start at 07:30, with latest arrival being 09:30. Stands must have completed setup by 11:30. - For Setup which access point do you want to use?
Options are:
Gate 6 – Loading Bays (If you have booked parking, choose this)
North Gate Turnstiles (If you have NOT booked parking, choose this)
Your invoice will confirm whether parking has been reserved or not. By default this is ONE parking space per exhibitor, unless you have requested more which will be listed on your invoice.

Deliveries:
If you need to ship product to the site ahead of your arrival for setup then please ensure you do the following:
- Deliveries should arrive on THURSDAY 4th September.
- These should be marked for the attention of:

Deliveries earlier than this must be requested in advance before booking by emailing info@tabletopscotland.co.uk and we shall see what alternative arrangements can be made.
If you schedule a delivery for the Friday, please be aware that your stand must be ready no later than 11:30am.
Collections:
Stock being collected from the venue after the convention must be scheduled to be picked up on Monday 8th September.
Anything later than that may be problematic as we will have handed the venue back to the operator. We may be able to be flexible but once we hand back the venue we can’t make any guarantees.
Setup times are:
- 16:00 to 21:00 on Thursday 4th of September
- 07:30 to 11:00 on Friday 5th of September
Your stand must be set up by 11:30 on Friday the 5th of September.
How do I unload my vehicle into the hall for setup?
On the hall floorplan linked above you will see blue lines on the top / North wall of the hall. These are loading doors which will be opened only during setup and breakdown. Loading doors 1 and 2 are at the top left and the next along respectively. These will be used for exhibitor setup, as will the fire exits adjacent.
Vehicles will enter via Gate 6 as per the agreed schedule and you will be directed towards either loading door 1 or 2 to unload. Once your vehicle has been unloaded you must move it outside of the secured perimeter, or park it in a Hard Standing location if you have reserved parking.
Between 17:00 and 18:00 on Sunday you can breakdown your stock and other items, but you cannot use the loading doors to load your vehicles until after 18:00, when the hall closes to the public.
If you choose to remove your stock before 18:00, then you must use the main entrance.
The venue must be cleared by 21:00 on Sunday 7th September.
Your exhibitor welcome pack will contain:
- Your Parking Permit (If you have reserved Parking)
- Your Exhibitor Passes for everyone in your team

Exhibitor Trading hours – these are different from the Convention opening hours.
Friday 5th September: 12:00 – 18:00
Saturday 6th September: 09:00 – 18:00
Sunday 7th of September 09:00 – 17:00
Exhibitors must ensure their stand is staffed and ready to trade at least 15 minutes before trading commences on each day of the Convention.
In addition to the venue Security team who provide security for the event and venue in general, outside of trading hours we will create a perimeter around the exhibitor areas when the hall is still in use. This perimeter will be patrolled by Security resources organised by Tabletop Scotland.
Once the perimeter is in place, you will only gain access by asking for a Yellow shirt to escort you.
If you requested exhibitor parking, and it was subsequently listed on your invoice, then you will be provided with passes for parking in the Hard Standing as part of your arrival packet. This must be displayed on the dashboard of your vehicle throughout the convention.
Access via Gate 6 for loading and unloading is limited to the hours listed under Setup & Breakdown.
You may move your vehicle into and out of the loading zones for loading and unloading but it MUST be moved to the hard standing when loading is complete. Vehicles are not permitted in the Hall at any time.
Note that parking is limited to ONE vehicle per exhibitor, unless you have specifically requested to have more than ONE space.

Frequently Asked Questions
Q – What time can I get access to the hall on Saturday and Sunday?
A – You can gain access from 7:30am each day. The Tabletop Scotland team will be onsite at that time.
Q – Can I restock in the morning of each day?
A – Yes, exhibitors have access from 7:30am on Saturday and Sunday, as well as Friday, you can restock your stands each day. Note that this may not always be possible via the loading doors, and may need to be via the Main Entrance.
Q – Can I restock during the day if required?
A – Yes. However you will have to use the main entrance to do that.
Q – Can we promote our wares / take pre-orders / generally hype what we’re doing?
A – Yes! We have a Facebook Group – https://www.facebook.com/groups/TabletopScotlandChat – which you are welcome to promote in.
