Why volunteer?

Tabletop Scotland is a celebration of our shared hobbies as well as being a place where games are played and purchased. Over the years we have found that many who attend want to contribute to the convention. In other words, for many simply attending is not enough. Without Volunteers, Tabletop Scotland would be a much poorer event.

As a volunteer-run convention, we believe in giving people the opportunity to participate in making the convention happen and see it as crucial to the success and identity of Tabletop Scotland.

Tabletop Scotland thrives because we have a team of fantastic volunteers who make the convention the best it can be.

Volunteer Policy

Red Shirts

We refer to our general Volunteers as Red Shirts. Any resemblance to the crew of a specific sci-fi tv show from the 1960s is completely coincidental.

Our Red Shirts help make the convention run.

They carry out a wide range of tasks including selling tickets, operating the bring & buy, providing information / help to visitors, and helping with setup and cleardown.

Some Red Shirts may be given more responsibilities than others and be asked to lead specific areas of the convention with the support of someone from the convention organiser team aka Yellow Shirts.

Age Restriction

All Volunteers must be aged 18 or over by the time they Volunteer at Tabletop Scotland. Exceptions may be made at the sole discretion of Tabletop Scotland.

Expectations

As Volunteers, we expect you to do your best to:

  • Help Tabletop Scotland provide an excellent experience for all who are in attendance.
  • Be friendly, helpful, reliable and diligent.
  • Be punctual for your shifts / events you have been assigned, unless requested otherwise by a Yellow Shirt team member.
  • To inform Tabletop Scotland as soon as possible, if you are unable to fulfil any role or shift to which you have committed.
  • Wear your Tabletop Scotland Volunteer / Event badge at all times whilst actively volunteering.
  • Report to a Yellow Shirt or other appointed Volunteer any actions that you feel could be considered harassment, anti-social behaviour, constitute a health and safety risk, or is not in accordance with our Code of Conduct.

Neither of us intend any employment relationship to be created either now or at any time in the future.

Specifics

Red Shirts:

  • are required to arrive one hour before they are scheduled to perform tasks.
  • must be presentable and wear the provided Red Tabletop Scotland t-shirt whilst you are actively volunteering, and wear sensible clothing and footwear appropriate to your allocated tasks.

We will assess applications on an individual basis. If we are unable to assign you to a volunteer slot, we will inform you in a timely manner, and put you on a reserve list. Please note, an unsuccessful application will not exclude you from applying in the future. Any information provided during this application process will be kept confidential and we will keep the personal information we request to a minimum.

We aim for our Volunteers to have time to enjoy the convention alongside their tasks. That said, there may be occasions where those tasks clash with events that they may wish to take part in. It is not always possible to give volunteers that available time and whilst we will do what we can, we cannot guarantee that.

Red Shirt Rewards:

  • Time commitment of 24+ hours between Friday 11am and Sunday 7pm, which may include evening tasks. This gives you free access to the convention for Three Days, six meal vouchers, a Three Day pass to provide to someone else, and you will be provided with Three x Tabletop Scotland Red t-shirts.
  • Time commitment of 16+ hours between Friday 11am to Sunday 7pm, which may include evening tasks. This gives you free access to the convention for Two Days of your choice, four meal vouchers, Two tickets for any days to be provided to someone else, and you will be provided with Two x Tabletop Scotland Red t-shirts.
  • Time commitment of 8+ hours between Friday 11am to Sunday 7pm, which may include evening tasks. This gives you free access to the convention for One Day, two meal vouchers, One ticket for any day to be provided to someone else, and you will be provided with One x Tabletop Scotland Red t-shirt.

Volunteer Application Form

We need a way of contacting you over the weekend itself. Please provide us a mobile number that we can reach you on.
We use Discord to organise the tasks and shifts with all volunteers. Whilst using Discord isn't mandatory, we highly encourage it. If you don't already have a Discord ID we recommend that you sign up before submitting this form. https://discord.com/register
Please note that all of our volunteers must be 18 or over. Exceptions may be made depending on specific factors which we will discuss with you.
All of our volunteers are given a red volunteer t-shirt to wear for each day they volunteer for us. These are yours to keep and must be worn throughout your scheduled time volunteering at the convention.

    Helping out on the Thursday and/or Sunday Evening may involve heavy lifting as part of the convention set up and break down activities.
    If you have then this increases the likelihood of you being able to volunteer at Tabletop Scotland events.
