Tabletop Scotland thrives because we have a fantastic team of volunteers to make the convention the best it can be.
Volunteer Policy
Tabletop Scotland is largest hobby game convention in Scotland and is held annually at the Royal Highland Centre.
The convention is made up of several distinct elements that allow attendees to try, experience, and enjoy hobby games of all genres.

The opportunity for people to participate is key to the ethos and understanding of Tabletop Scotland.
Why do we use Volunteers?
The organisers of Tabletop Scotland have always felt that the convention is a celebration of our shared hobbies as well as being a place where games are played and purchased. We have found, over the years, that many who come want to contribute to our community at an event that they find enjoyable. In other words, for many simply attending is not enough. Without Volunteers, Tabletop Scotland would be a much poorer event.
Types of Voluntary Roles
· General Volunteers aka Red Shirts – The individuals who help make the show run. They carry out a wide range of tasks including selling tickets, operating the bring & buy, providing information
/ help to visitors, and helping with setup and cleardown.
Some General Volunteers may be given more responsibilities than others and be asked to lead specific areas of the convention with the support of someone from the Core Volunteer Staff.
· Event Hosts and Organisers aka Blue Shirts – Individuals running events including but not limited to roleplaying game sessions, board / card / miniatures tournaments, and hosting panels.
· Core Volunteer Staff aka Yellow Shirts – These are the team who work throughout the year to organise the convention. These roles are not applied for.
Expectations
We at Tabletop Scotland will do our best to:
· Ensure you are aware of the tasks that are required of you
· Provide you with a safe and respectful workplace.
· Provide a clear hierarchy for the supervision and solving any problems that may arise.
· Keep you informed in the weeks and months leading up to Tabletop Scotland.
As Volunteers, we will expect you to do your best to:
· Help Tabletop Scotland provide an excellent experience for all who are in attendance by being friendly, welcoming and helpful.
· Be reliable and diligent.
· Turn up for your shifts / events punctually for the hours you have been assigned, unless requested otherwise by a Core Volunteer Staff team member.
· To inform your Tabletop Scotland as soon as possible, if you are unable to fulfil any role or shift to which you have committed.
· Wear your Tabletop Scotland Volunteer / Event badge at all times whilst actively volunteering.
· Report to a Core Volunteer Staff team member any actions by anyone that you feel could be considered harassment, anti-social behaviour, constitute a health and safety risk, or is not in accordance with our Code of Conduct. This will be taken seriously by all at Tabletop Scotland.
Neither of us intend any employment relationship to be created either now or at any time in the future.
Age Restriction
All Volunteers must be aged 18 or over by the time they Volunteer at Tabletop Scotland. Exceptions may be made at the sole discretion of Tabletop Scotland.
Event Hosts and Organisers
As part of building the event schedule for the convention we will request submissions for events. Almost all of the events at Tabletop Scotland can only happen by having people submit them to be hosted at the convention.
These are recruited via the event submissions process as detailed on the website but are still Volunteers for all other purposes.
Amount of time organising events:
· Time commitment of 7+ hours between Friday 12pm and Sunday 6pm. This gives you free access to the convention for all Three Days, and you will be provided with One Tabletop Scotland Blue t-shirt.
· Time commitment of 3.5+ hours between Friday 12pm and Sunday 6pm. This gives you free access to the convention for the One Day of your event, and you will be provided with One Tabletop Scotland Blue t-shirt.
General Volunteers
General Volunteers are recruited via an online application process, which provides Tabletop Scotland with all the necessary information to process your application. This must be completed as fully and as honestly as possible.
General Volunteers are required to arrive one hour before they are scheduled to perform tasks. If you are unable to do this, we may still be able to accept your application, but this will only be agreed for rare exceptions.
General Volunteers must be presentable and wear the provided Red Tabletop Scotland t-shirt whilst you are actively volunteering, and wear sensible clothing and footwear appropriate to your allocated tasks.
General Volunteers will have access to the Volunteer Crew Room during the running of the convention.
Amount of time volunteering:
· Time commitment of 24+ hours between Friday 11am and Sunday 7pm, which may include evening tasks. This gives you free access to the convention for Three Days, six meal vouchers, a Three Day pass to provide to someone else, and you will be provided with Three x Tabletop Scotland Red t-shirts.
· Time commitment of 16+ hours between Friday 11am to Sunday 7pm, which may include evening tasks. This gives you free access to the convention for Two Days of your choice, four meal vouchers, Two tickets for any days to be provided to someone else, and you will be provided with Two x Tabletop Scotland Red t-shirts.
· Time commitment of 8+ hours between Friday 11am to Sunday 7pm, which may include evening tasks. This gives you free access to the convention for One Day, two meal vouchers, One ticket for any day to be provided to someone else, and you will be provided with One x Tabletop Scotland Red t-shirt.
We will assess applications on an individual basis and it may not be possible to assign all applicants to Volunteer slots. If you are unsuccessful, we will inform you in a timely manner, and put you on a reserve list. Please note, an unsuccessful application will not exclude you from applying in the future.
All successful applicants will be added to a newsletter for volunteers to keep you of updates about the convention.
Any information provided during this application process will be kept confidential and we will keep the personal information we request to a minimum.
Please note: we aim for our Volunteers to have time to enjoy the convention alongside their time carrying out tasks at the convention. That said, there may be occasions where those tasks clash with events that you may wish to take part in. It is not always possible to give you that time and whilst we will do what we can, we cannot guarantee you will be able to do that. So, when event booking opens please do not reserve your space until we have confirmed your task schedule, otherwise it may be that you need to cancel that reservation.
